RealtiWeb is a leading Canadian conveyancing software designed for real estate lawyers, clerks, and clients to complete and close legal transactions. It offers tailored solutions unique to each province’s laws and regulations.

This project introduces a task management system into RealtiWeb, enabling lawyers and clerks to manage tasks relevant to each file directly within the platform. By replacing fragmented workflows involving external tools like spreadsheets and notes, it merges disjointed legacy features into a single, streamlined solution that improves efficiency and usability.

The Process

I collaborated with our client base to identify opportunities for improving collaboration and communication within RealtiWeb. Through conversations, we discovered that many users were unaware of the existing tickler system, which allowed events to be added to the system’s calendar. Instead, users relied on note pages or spreadsheets to track tasks, creating inefficiencies and often data loss.

To address this, I saw an opportunity to merge tasks and events into one cohesive system, similar to existing task management applications. This approach reduces reliance on external methods like paper notes or spreadsheets, ensuring task-related information is consolidated and easily accessible within their workflow. I made the tickler system more prominent on the main page to encourage users to add tasks with customizable settings for greater flexibility. This ensured all task-related information is consolidated and easily accessible within their workflow. The design is currently in development.

Challenges and Design Consideration

Maintaining functionality and ensuring consistency with other provinces was crucial to minimize workflow disruption of 7500 legal professionals who have been using this product for 20 years.

I prioritized consistent user touchpoints for easy navigation despite visual updates, while addressing varying user flows uncovered in research by iterating on a scalable, context-friendly interface and refining table design.
